One of the most common questions we get from athletes is simple: "Should I email each coach separately, or can I just send one email to the whole staff?"
Until now, CoachOutreach always did it one way — a separate, private message to each coach in your "TO" line. That's still the right default for most outreach. But sometimes you want the whole staff on one thread. So now you choose.
Two ways to send
- Email individually (the default) — Every coach gets their own private email, sent one at a time from your inbox. No coach sees anyone else's address, and personalization like the coach's name works automatically. This is still the best choice for reaching coaches across different schools.
- Email as a group (new) — Everyone goes on a single email together, right in the To line. It reads like a normal group message, so a head coach and their assistants can all see it and reply together. Perfect for reaching a full coaching staff at one school.
How to use it
When you compose an email, you'll see a new Sending method toggle at the top. Pick Email individually or Email as a group before you send — that's it. And when you tap "Email these coaches" from a school on your Schools page, we'll set it to group mode for you, since those coaches are usually on the same staff.
A built-in guardrail
Group emails only make sense when everyone shares the same email domain — like a single school's staff. To protect you from accidentally showing coaches at different schools each other's addresses, group send is blocked when the recipients don't all share one domain. If that happens, just remove the odd ones out or switch back to Email individually.
When to use which
- Reaching out to coaches at many different schools? Use Email individually — private, personalized, and proven.
- Contacting a full staff at one program (head coach + assistants)? Try Email as a group so they're all in the conversation.
